Project Coordinator (Fluent Dutch and English required)

Location: Hybrid, Dilbeek (BE) or Dublin (Ireland) – based (2 days a week in the office).

Reporting to: PMO Manager

About the Role

We are seeking a proactive and detail-oriented Project Coordinator who can thrive in a fast-paced environment and manage ambiguity with confidence. This is a hands-on delivery role requiring strong organisational skills, accuracy, and the ability to manage multiple priorities effectively.

You will support the Project Management Office by coordinating technical resources, customer engagements, governance activities, documentation, and billing. Working closely with engineers, consultants, service delivery managers, account managers, and partner teams, you will ensure projects are scheduled efficiently, meet objectives, and deliver a consistent, positive customer experience.

This role is ideal for someone who is resilient, resourceful, and eager to develop into a Junior Project Manager.

Key Responsibilities

  • Coordinate scheduling for technical resources, customer appointments, workshops, and project activities across regions.
  • Act as a central point of contact for customers and internal teams regarding timelines, readiness, and logistics.
  • Organise small professional services engagements and low-complexity projects, ensuring documentation and approvals are complete.
  • Maintain PMO administration including action logs, RAID items, documentation repositories, and reporting.
  • Ensure project documentation (SoWs, design documents, sign-offs, UAT, handover packs) is accurate and delivered on time.
  • Support governance and compliance with stage gates from Sales → Delivery → Support.
  • Manage billing activities, validate milestones, and liaise with Finance for accurate invoicing.
  • Track progress and communicate updates to PMs, stakeholders, and customers.
  • Respond quickly to changes in requirements or resource availability with minimal disruption.
  • Contribute to process improvements and help refine templates and workflows.
  • Support Project Managers with documentation, customer communications, and project closure.

Essential Skills & Experience

  • Degree or Diploma in Business, IT, or related field (or equivalent experience).
  • 1–2 years in a fast-paced coordination, scheduling, administration, or service delivery, ideally in technology or professional services.
  • Proven ability to manage calendars and coordinate resources effectively.
  • Experience supporting projects and maintaining reports and logs.
  • Proficiency in MS Office and collaboration tools (Teams, SharePoint).
  • Ability to work independently and make decisions in ambiguous situations.
  • Excellent communication skills in English and Dutch is a must have. While not essential, French is advantage.
